Adding a fifth Line of Detail, for Health Fund Billing
Before you begin
Finally, you may need to add a 5th line of detail, if you have created a new class or classes to accommodate Health Fund billing.
New customers will find that a spare footer field has been placed at the bottom of each letterhead template. To use this footer, modify the class name to match that of your new class, and then copy and paste the footer plus the blank line before it, to use for other Health Fund classes. Don't forget to change the class names of these copied footers.
If you are an existing customer who has upgraded to a recent release of Bluechip, then you may not already have one of these footers available. The steps listed below will enable you to create one of your own.
Procedure
- Highlight and copy (Ctrl+C) a footer that has similar details to what you will need. Remember to highlight the line before the footer and also the footer itself.
- Press Ctrl+End, to jump to the end of your template, and press Ctrl+V to paste the footer.
- Edit the class name, for example [LHMBF] and [ELHMBF], instead of [LHPrivate] and [ELHPrivate].
-
Move the Ref Period fields to the end of the Ref Date fields.
- Move the insertion point into the cell that has "Ref Date" in it, and press the End key.
- Add a comma and a space.
- Move the insertion point back down to the cell that has "Ref Period" in it, and highlight the text.
- Press [Ctrl]+[X], to cut "Ref Period".
- Move the insertion point back up to the Ref Date field, hit End and then Ctrl+V. This will make the cell say "Ref Date, Ref Period".
- Repeat the steps above with the database fields, so that the cell next to this one reads "[Pat_RefDate], [Pat_RefPeriod]".
It will look like the referral period field has disappeared, but this will not be the case when actual data is substituted for the field, on a printed invoice, receipt, transaction listing or statement.
- Enter Date of Birth and [Patient_DOB] in the last line of details.
-
Add the field for Medicare Reference Number to the end of the Medicare No field.
- Move the insertion point into the "[MedicareNo] field and press End on the keyboard.
- Enter a space followed by ([Pat_MedicareRef]). On a printed invoice, this will show up as, for example: Medicare No 2111 11111 1 (2)
-
Add the extra line to allow more information to print.
- Highlight the 2 cells above Ref Dr Prov No.
- Click on Table > Split Cells.
- Choose 2 columns, 2 rows, and leave the Merge cells... box ticked.
- Move the middle, vertical, line, so that it is aligned with the surrounding cells.
- Move the two horizontal lines down, so that the cells are enlarged by an appropriate amount.
-
Format the new cells.
- Highlight the cell that needs to have a white background, and then click on Format à Borders and Shading.
- click the Shading tab.
- Highlight the left most of your new cells (that is, two cells below "Medicare No") and click Format à Paragraph.
- Select the settings shown below.
- Highlight the right most of your new cells (that is, two cells below "[MedicareNo] ([Pat_MedicareRef])"), click the Format à Paragraph, and select the settings shown below.
-
Move the Medicare No fields down one line, to accommodate the Health Fund No field.
- Move the insertion point into the Medicare No field and press Shift+End. This should highlight the cell. If this does not work, ensure that the insertion point is still in the Medicare No field, and click the Table > Select > Cell.
- Press Ctrl+X, to cut the text, then move the insertion point down two cells, and press Ctrl+V, to paste Medicare No into its new home.
- Repeat these steps to move [MedicareNo] ([Pat_MedicareRef]) into its new home.
- When you have completed step c), you will notice that the cell has enlarged itself automatically. You do not want this, because it will ruin the look of your invoices. Position the insertion point inside this cell and then click on Table > Table Properties.
- Click the Row tab, and select the settings shown below.
- Add the Health Fund No fields, remembering to match the spelling and punctuation exactly to that in the Class Setup.
