Sending Invoices Using Online Patient Claiming

Before you begin

To create and send an invoice intended for processing using Patient Claims

Procedure

  1. Ensure you have selected Invoices as the view option. Issue a new invoice and select it, or select an existing invoice to process using Online Patient Claiming.
  2. Ensure you have selected Invoices as the view option, and click the Patient Claim button (from the Accounts window). The New Patient Claim window appears.

A Patient Claim can only be created for invoices in accounts that have a batch type of "Patient Claim". The Patient Claim button will not appear on the Accounts window for any accounts created for other batch types.

  3. Click the View Invoice Items button to view the invoice items included in this claim.

Services must have been provided within the last 6 months to be eligible for Patient Claims.

  4. Select the Claimant (the claimant displayed is based on the account contact in the class setup).
  5. Select the Payment Type (EFT is only displayed if the account is fully paid).
  6. Enter the patient's EFT details if appropriate.
  7. Select the 'The Claimant has read and agreed to the terms of the Claimant Declaration' check box to signify the patient has agreed.\
  8. Click the Send button to send the claim to Medicare. While the patient is present the Patient Claim is sent to Medicare, assessed and returned in one real-time action or click the Store button to store the claim and send at a later time or date.

If the patient has paid in full then the patient may elect (at step 5) the method of receiving their Medicare benefit (EFT or Cheque). Medicare will then automatically send out the payment in the selected form.

If the patient has not paid in full (that is, the claimant has only paid the gap or has not paid at all) then the payment is made by cheque to the Practitioner but sent to the claimant.

    1. If you have opted to Store the claim, the claim will be prepared and authorised, ready for transmitting to Medicare at a later, more convenient, time.
    2. To transmit a store and forward claim, go to Practice Explorer and view the Medicare window. Select the claim and click the Transmit button.
    3. When a Patient Claim is submitted in 'Immediate' mode, information is returned from Medicare. The Patient Claim Results window displays the status of the claim and its items.

    4. Review the claim and accept or cancel the claim based on the information displayed.

When errors have been recorded against the claim accepting the claim will send an "Accept Content" transmission to Medicare.

If you choose to cancel a Patient Claim in the course of processing the claim, the following message displays:
